BayneCorp, LLC dba BayneTech ("BayneTech," "we," "us," or "our") operates the BayneOS platform and the baynetech.com and bayneos.com websites. This Privacy Policy describes how we collect, use, store, share, and protect your information when you use our services.
1. Information We Collect
1.1 Information You Provide
- Account Information: Name, email address, company name, phone number, and password when you create an account or contact us.
- Billing Information: Payment card details and billing address, processed securely by Stripe. We do not store full credit card numbers on our servers.
- Business Data: Information you provide or that your connected integrations provide, including email content, calendar events, financial transactions, invoices, employee records, social media content, and customer contact information.
- Communications: Messages you send us via contact forms, email, or support channels.
1.2 Information from Third-Party Integrations
When you connect third-party services to BayneOS, we access data from those services on your behalf. This includes:
- Google (Gmail, Calendar, Business Profile): Email messages, calendar events, business reviews, and profile information. We access this data using OAuth 2.0 with your explicit consent. We use Gmail data to classify, triage, and draft responses to emails. We use Calendar data to display schedules and manage appointments. We use Business Profile data to monitor and draft responses to reviews.
- QuickBooks Online: Financial transactions, invoices, customer records, accounts, and reports. Used to display financial summaries, categorize transactions, and generate financial intelligence reports.
- Stripe: Payment history, customer records, and transaction data from your Stripe account. Used to display payment dashboards and sync with financial operations.
- Buffer: Social media post scheduling and channel information. Used to schedule and manage social media content.
- Gusto / BambooHR / Homebase / ADP / Paychex / Rippling: Employee directory, payroll summaries, time-off requests, benefits enrollment, time tracking, and onboarding data. Used to display People Operations dashboards and generate HR intelligence reports.
1.3 Information Collected Automatically
- Usage Data: Pages visited, features used, actions taken, timestamps, and session duration.
- Device Information: Browser type, operating system, screen resolution, and IP address.
- Cookies: We use essential cookies for authentication and session management. We do not use tracking or advertising cookies.
2. How We Use Your Information
We use your information to:
- Provide, operate, and improve the BayneOS platform and its AI-powered agents
- Process and display data from your connected third-party integrations
- Generate AI-powered intelligence reports, recommendations, and insights about your business operations
- Classify, triage, and draft responses to emails on your behalf
- Categorize financial transactions and generate financial summaries
- Schedule and manage social media content
- Monitor business reviews and draft responses
- Calculate and display ROI metrics and time savings
- Process payments and manage your subscription
- Send transactional emails (welcome sequences, weekly reports, alert notifications, approval requests)
- Respond to your inquiries and provide customer support
- Detect and prevent fraud, abuse, and security incidents
- Comply with legal obligations
3. AI Processing
BayneOS uses artificial intelligence (via Anthropic Claude and OpenAI APIs) to process your business data and generate insights, reports, recommendations, email drafts, content suggestions, and operational intelligence. Specifically:
- Your data is sent to third-party AI providers (Anthropic, OpenAI) for processing. These providers process data according to their respective privacy policies and data processing agreements.
- AI-generated content (email drafts, social posts, review responses) is always presented for your review and approval before any action is taken on your behalf.
- Feedback you provide (thumbs up/down on AI actions) is used to generate per-tenant rules that improve your AI agents over time. These rules are specific to your account and are not shared with other tenants.
- We do not use your data to train AI models. Your data is used solely for inference (generating responses and insights) within your BayneOS account.
4. How We Share Your Information
We do not sell, rent, or trade your personal information. We share your information only in the following circumstances:
- Service Providers: We share data with third-party service providers who help us operate BayneOS, including DigitalOcean (hosting), Stripe (payments), Resend (email delivery), Anthropic (AI processing), OpenAI (AI processing and transcription), Vizard (video processing), and Buffer (social media scheduling). Each provider is bound by their own privacy and data protection policies.
- At Your Direction: When you instruct BayneOS to send an email, post to social media, create an invoice, or perform other actions on your behalf, your data is transmitted to the relevant third-party service.
- Team Members: If you invite other users to your BayneOS account (managers, viewers, accountants), those users can access data within the scope of their assigned role and department permissions.
- Legal Requirements: We may disclose your information if required by law, subpoena, court order, or governmental regulation, or if we believe disclosure is necessary to protect our rights, protect your safety or the safety of others, or investigate fraud.
5. Data Storage and Security
- Your data is hosted on DigitalOcean infrastructure in the United States.
- All data in transit is encrypted using TLS 1.2 or higher.
- All data at rest is encrypted using AES-256 encryption.
- OAuth tokens and sensitive credentials are additionally encrypted at the application level before storage.
- Each tenant's data is logically isolated — your data is never accessible to other BayneOS clients.
- Access to production systems is restricted to authorized personnel using certificate-based authentication and role-based access controls.
- We maintain audit logs of all data access and modifications.
6. Data Retention and Deletion
- Your data is retained for the duration of your active BayneOS subscription.
- Upon subscription cancellation, your data is retained for 30 days to allow for reactivation, then permanently deleted from all databases.
- You may request immediate deletion of your data at any time by contacting us at jared@baynetech.com.
- Data export is available at any time through the BayneOS dashboard (CSV and PDF formats).
- Cached data from third-party integrations is refreshed regularly and deleted when the integration is disconnected.
- Backup data is purged within 30 days of primary data deletion.
7. Google API Services — Limited Use Disclosure
BayneOS's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:
- We only use access to Google user data to provide and improve the BayneOS features you have enabled (email management, calendar scheduling, business profile monitoring).
- We do not use Google user data for advertising purposes.
- We do not allow humans to read your Google data unless: (a) you give us explicit consent, (b) it is necessary for security purposes, (c) it is required by law, or (d) the data has been aggregated and anonymized for internal operations.
- We do not transfer Google user data to third parties except as necessary to provide the BayneOS service (AI processing for email classification and response drafting), with your consent, or as required by law.
8. Your Rights
Depending on your location, you may have the following rights regarding your personal information:
- Access: Request a copy of the personal information we hold about you.
- Correction: Request that we correct inaccurate or incomplete information.
- Deletion: Request that we delete your personal information.
- Portability: Request a machine-readable copy of your data (available via the BayneOS data export feature).
- Restriction: Request that we restrict the processing of your information in certain circumstances.
- Objection: Object to our processing of your information in certain circumstances.
- Withdraw Consent: Revoke consent for data processing at any time by disconnecting integrations in your BayneOS settings or contacting us.

9. California Privacy Rights (CCPA)
If you are a California resident, you have the right to:
- Know what personal information we collect, use, and disclose about you.
- Request deletion of your personal information.
- Opt out of the sale of your personal information. We do not sell personal information.
- Non-discrimination for exercising your privacy rights.
10. Children's Privacy
BayneOS is a business platform and is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If you believe we have collected information from a minor, please contact us immediately.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice on our website. Your continued use of BayneOS after changes take effect constitutes your acceptance of the updated policy.
